Proposals are often the difference between winning and losing a deal. But writing them from scratch takes hours — researching the prospect, tailoring the pitch, formatting the document, creating a pricing table. CooVex automates all of this.

Using data from your lead profile, your products and services, and the AI’s understanding of what the prospect needs, CooVex generates a complete, professional proposal in under 60 seconds.

Generating a proposal

Step 1 — Open from a lead

Navigate to the lead you want to send a proposal to. Click the Create Proposal button on the lead detail page. The AI pre-fills the proposal using everything it knows about this lead: their company, industry, size, the notes from your interactions, and their score.

Step 2 — Choose a template

Select from four templates:

Standard — problem, solution, pricing, next steps. Works for most B2B deals.
Executive — adds an ROI section and strategic context. Best for C-level decisions.
Agency — includes scope of work, deliverables, timeline, and retainer structure. Designed for service businesses.
Minimal — one-page summary with pricing. Best for straightforward, transactional deals.

Step 3 — Review and edit

The AI generates the full proposal. Read through it and make any adjustments. The AI Coach is available in a side panel — ask it: “Make this more formal” or “Add a section on implementation timeline”.

Step 4 — Send

Send the proposal directly from CooVex via email, or copy a shareable link to send through your own email client. The proposal is hosted on a clean, mobile-friendly page with your branding.

Proposal tracking

Once sent, CooVex tracks:

Opens — when the proposal was first opened and how many times
Time spent — how long the recipient spent on each section
Pricing viewed — whether they scrolled to the pricing table
Signatures — if e-signature is enabled, when they signed

When a prospect opens a proposal for the second time after a week of silence, that is a buying signal. CooVex fires a Smart Alert immediately so you can follow up while you are top of mind.

Branding your proposals

Go to Settings → Workspace → Branding to upload your logo, set brand colors, and customize the footer. All proposals use your branding automatically. On Agency and Scale plans, you can create separate branding sets for different clients.

E-signature

Enable e-signature in Settings → Proposals to add a signature block to your proposals. Prospects sign directly in the browser. Signed proposals are stored in CooVex and attached to the lead record automatically.
